This privacy policy sets out how Active Events collects, uses and protects any information that you give us. Active Events also produces Showcase Scotland and Showcase Scotland Expo. We are committed to ensuring that your privacy is protected. Should we ask you to provide personal information by which you can be identified when using this website, in email correspondence, when completing registration forms or in the course of any other communication with us, please be assured that your data will only be used in accordance with this privacy statement.

Who does the Privacy Policy apply to?

This privacy policy applies to all organisations and individuals with whom we conduct business, including artists on our agency roster. In the case of cookies (see relevant section below) this Privacy Policy also applies to any visitors to our website.

What Personal Data is Collected by Active Events?

In most circumstances Active Events will collect no more than your name and contact details (name, business address, email address, telephone number). This data may be stored in our main database or in individual mailing lists. If we require to make any payment to you then your contact details will also be stored on our payment system and, if provided, your bank account details will be stored on our bank’s digital banking platform. Occasions may arise where we require more comprehensive personal information. If we are delivering an item to your home address at your own request then we will store this data for future use. If we are assisting with the booking of travel tickets or visa applications we may collect passport information or scans of other relevant personal documentation including but not limited to birth certificate, travel insurance policy, car registration, dietary requirements, past visa information. If you are participating in an event run by us we may collect a short biography of your career or current role, and a photograph for use any event-specific materials. Information will only be published in printed materials with your permission as granted at the time of registration for any given event.

How is Personal Data Collected by Active Events?

Generally data is provided to us voluntarily through email, postal and telephone correspondence, or browsing of information which is already publicly available. We may also collect information through application and registration forms for events. These forms may be paper or digital and may be sent to us by post or email, or collected via ticketing services such as Eventbrite.

How is Personal Data used by Active Events?

If your email address is on one of our mailing lists we will use this to update you on the touring plans and availability of our artists, to inform you of upcoming opportunities or events relevant to your subscription or to update you generally on our current activities.

Any further information we hold is used for activity previously agreed with you e.g. general correspondence, making payments, delivery of materials, booking travel arrangements and any other reasonably expected practises relevant to our business with you. We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so.

Accessing and Controlling your Personal Data

If you wish to review the personal data held on you by Active Events please email info@activeevents.org.uk with “Personal Data Request” in the subject line. Alternatively, send a letter to our office at Active Events, The Courtyard, 22 Hayburn Street, Glasgow, G11 6DG. We aim to respond to any requests within 2 working days of receipt.

Any request to change or delete the personal data held on you will be adhered to within 2 working days. If you wish to unsubscribe from a mailing list simply click on the relevant link at the bottom of any mailout, or reply with “UNSUBSCRIBE” in the subject line or body of your email.

Policy Amendments

Amendments to this Privacy Policy may be made at any time and you should check back frequently for any changes. The amended version will be published on our website and any significant changes will be communicated in the news section on the front page of our website. The amended policy will replace any previous privacy policy wording and all conditions and terms of use will be in force from the date of publication.
